Position:   Office Administrator (25 hours/week – Monday-Friday)
Reports To:  Meryl Brandwein
Job Summary:   Responsible for answering phone, scheduling, checking in and out patients, maintaining supplement inventory, general office administration

Essential Skills and Abilities:

Excellent patient service and communication skills, demonstrates concerns for patient’s problems, ability to manage multiple tasks simultaneously, good problem solving skills, able to work as a team member, well-organized with attention to detail, treats patients and co-workers with respect and most of all has a positive attitude and able to adapt in a thriving, highly energetic nutrition office.

Administrative Responsibilities

  • Answer phones, book patient appointments and confirm upcoming appointments in a pleasant and professional manner
  • Pick-up daily voicemail messages and respond to potential new patient inquiries
  • Maintain, update and follow-up on all patient testing and documenting in the Test Log
  • Update passwords and manage secure storage
  • Maintain the office computer data base
  • Keep track of all printed materials, order when needed and stocked where appropriate (backroom/Meryl’s desk)
  • File charts and paperwork as needed
  • Sort and distribute mail
  • Daily & weekly touch-base meetings with Meryl and Nikki to recap and prioritize tasks
  • Communicate & report concerns and deficiencies of internal office procedures and provide viable solutions that may result in positive changes

Supplement Management

  • Conduct weekly supplement inventory
  • Place weekly supplement orders with vendors
  • Create Purchase Orders in Quickbooks
  • Receive and verify shipments in Quickbooks
  • Stock supplements accordingly
  • Fulfill daily patient supplement orders via phone, email and walk-in
  • Process payment to vendors
  • Pull reports as needed

Skills & Qualifications

  • Ability to prioritize patients’ needs, daily events, phone calls, emails during the day
  • Pleasant phone manner & able to respond quickly when dealing with patients
  • Superior organizational skills
  • Knowledge of computer programs, specifically Word, Excel, Booker and Quickbooks
  • Spanish Speaking is a plus
  • Degree in Business Administration or Marketing a plus
